Description:POSITION SUMMARY The receptionist is responsible for answering phones, greeting visitors and customers and providing clerical support for the staff as needed. The receptionist answers incoming customer calls, logs customer information and issues into a database ensuring accurate problem identification. The receptionist is also responsible for various aspects of customer training such as preparing certificates of training, room preparation and communication duties.
Duties:Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Answers incoming help desk / call center calls, logs accurate description of problem and if appropriate, forwards call to support representative. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Works closely with implementation and training to generate customer training information, creates certificates of completion for training and gets certificates signed and distributed to customers. Retrieves messages from voice mail daily and forwards to appropriate personnel. Performs clerical duties as needed, such as filing, and photocopying. Experience with a ticketing tool such as Remedy, Parature, or other CRM systems. Responsible to ensure breakroom supplies such as utensils, cups, coffee, etc. are stocked and in supply. Accurately inputs detailed customer information in ticketing tool to assist with timely call resolution. Arrives at work on time and is able to maintain regular attendance. Other duties as assigned.
Qualifications:Detail-oriented, able to accurately track a number of different projects simultaneously. Able to speak with customers, and potential customers and portray a positive light on Caselle. Ability to use Microsoft Office products at an beginner to intermediate level to track responses, write correspondence, and reports for managers. Accurate data entry skills. Ability to proficiently operate a multi-line phone system, email, and other office equipment.
